College of Creative Arts
General Policy
I. Use of Facility
A. Access
Custodians unlock and lock classrooms for normal daily work.
The Operations Office must approve all requests for a classroom to be unlocked before 7:00 a.m.
A faculty member should be present, when possible, and is responsible for students who have special permission to be in the building beyond normal hours.Students must have a Late Night Pass or Identification Card to be in the building beyond normal hours. These slips must be signed: 1) by the professor responsible for the student wishing to work late; 2) by the chair of the Division; and 3) by the Operations Office. The student must have the permission slip in his or her possession when working late. Those students not having permission slips will be asked to leave by the WVU Department of Public Safety.
B. Building Hours
Normal building hours: 7:00 a.m. to 12:00 a.m.
When there are no classes in session, the building hours are 8:00 a.m. to 5:00 p.m.
The building is closed during University Holidays. This includes weekends that fall immediately before, during, or after the holiday.
No classes, rehearsals, or other activities may be held when the building is closed, unless special permission is given by the Operations Office. A member of the teaching staff must be present.
C. Keys
All student key requests require a form, which may be obtained from the Operations Office or the division office.
A faculty member must initiate all key request forms and they must be signed by the student, faculty member, and the division chair.
Key requests are presented to the Operations Office. A minimum of 72 hours is necessary for processing upon receipt of a properly signed key request form.
Students will be assessed a $10.00 per key fee for any keys lost or not returned.
Faculty and staff may be held responsible for the replacement cost of lost keys.
Faculty, staff, and students with broken keys may have them replaced at College expense, upon return of the broken key.
Faculty, staff and students must return all keys to the Operations Office on the last day of employment or the last day of finals.
Keys not returned by students will result in the withholding of grades and other University services (i.e., transcript release, future registration) until the student returns the keys or pays an assessment fee.
The Operations Office must approve all requests for re-keying of space.
D. Food and Drink
There is no food or drink allowed in the in performance spaces (Lyell B. Clay Concert Theatre, Gladys G. Davis Theatre, Antoinette Falbo Theatre, Bloch Hall, or Vivian Davis Michael Laboratory Theatre). The Operations Office may grant exceptions for special events.
E. Smoking
As of July 1, 1990, West Virginia University became a smoke-free work environment. Smoking within the Creative Arts Center is STRICTLY PROHIBITED. The Dean’s Office may grant an exception for smoking on stage by actors in a performance. In these rare cases, the actors use an herbal substitute when possible. The Dean will make all final decisions regarding this exception.
F. Student Organizations’ Fundraising Sales
The Operations Office must schedule all fundraising sales on the Creative Arts Center calendar.
The Operations Office schedules fundraising sales a on a monthly basis only. The Office must receive requests for tables a minimum of two days in advance.
Each sponsoring group must obtain a permit for such sales from the Office of Student Administration.
The College permits signs advertising fundraising sales on non-departmental bulletin boards only. It is the responsibility of the sponsoring group to remove all signs.
The sponsoring organizations must deposit all monies collected in an appropriate account according to the prevailing University policy in place at the time of the sale. The organization should turn over all monies to the College of Creative Arts Business Office for security until deposited.
G. Locker Assignments
Locker sign up will begin on an advertised date at the beginning of the fall term. Sign up forms will be located on a table outside of the Operations Office. Please follow the posted instructions to complete this process.
Locker assignments are valid for no longer than one school year, and students must renew their locker assignments at the start of each fall semester. On an advertised date at the beginning of the fall semester, locks on lockers not signed for will be cut and the locker contents removed. Those lockers will then be made available to other students on a “first come-first served” basis. Items removed from lockers will be stored and returned only upon request and presentation of appropriate identification. Students must take full responsibility for retrieving these items, and items not claimed after the advertised date will be disposed of at the discretion of the Dean’s Office.
Students may use only the locker(s) registered in their name and may not change lockers with another student without authorization. A student must place a lock on the locker before signing up for it. While students may store their personal property in the lockers, there is a restriction against storing flammable chemical compounds in any of the lockers. The Dean’s Office is not responsible for the security of the contents of the lockers.
II. Parking - Faculty, Staff, Students, and Guests
There are three 15-minute only parking spaces for guests in Lot 45 at the Creative Arts Center.
The Operations Office will issue temporary parking permits for visitors or guests for a day or short time period.
Permits are available at the Operations Office or the host division office.
It is the responsibility of the faculty or staff member receiving a guest to obtain a temporary parking permit and they must give the name of the guest.
Note: Individuals who have valid WVU parking permits for any downtown lot also may park anywhere on the Evansdale Campus without a temporary permit, unless otherwise posted.
As needed, the Operations Office will submit a list of scheduled academic activities that necessitate the suspension of ticketing to the assistant director of Parking Management. The faculty should submit requests for such events through their division office. These events require the attendance of 30 or more individuals.
III. Safety Procedures
A. Accidents
If a student at the Creative Arts Center is involved in an accident at any time, the faculty or staff member present should acquire the proper medical assistance and inform the Department of Public Safety. The DPS will complete a report on the accident.
Students should be aware that their student insurance covers visits to the University Health Service only. Student insurance does not cover treatment at the WVU Hospital or Monongalia General Hospital Emergency Room.
The faculty or staff member who is present at the time of the accident, or who learns of an unsupervised accident, should report the nature of the accident and follow-up measures to the Operations Office. Accident report forms are available through the Operations Office or the division offices.
Employees (faculty, staff, or graduate assistants) involved in an accident must report the incident as soon as possible to the Operations Office.
The employee must file Workers’ Compensation forms, a Return to Work form, and a Safety report within 24 hours in order to receive benefits or coverage. Employees should submit Workers’ Compensation forms and Return to Work forms to the Business Office.
B. Emergencies
Emergencies of any nature should be dealt with expeditiously. There is a list of emergency and crisis intervention phone numbers in the first few pages of the University Phone Directory. All faculty and staff should be familiar with these numbers. In addition to notification of the proper authority, the Dean’s Office and/or Operations Office should be notified of any crisis as soon as possible.

IV. Academic Scheduling
A. Classes
The division chairs schedule classes two terms in advance, through the Operations Office. Faculty who wish to change the schedule of a class or the assigned classroom should present the request in writing to the chair of the division.
B. Community Arts Program Classes
The Operations Office schedules classes and spaces for the Community Arts Program. Space is at a premium and requests are usually filled on a first-come, first-served basis. However, University classes take priority and at times necessitate changes to accommodate all needs.
C. Recitals and Rehearsals
The Operations Office schedules all recitals and rehearsals. The faculty may reserve space for recitals after the Operations Office posts the major events and opens the calendar to scheduling. Students may sign up for recitals for the current academic year, beginning on the first day of the fall term.

D. Final Exams
The WVU Office of Admissions and Records publishes the final exam schedule in the printed Schedule of Courses.
Due to the nature of courses in the College of Creative Arts, it is necessary to schedule additional space for music juries. Coordination of this scheduling is through the Operations Office, in consultation with the chair of the Division of Music.
E. Practice Rooms
Duly enrolled students of the College of Creative Arts Division of Music and the Community Music Program may sign out practice rooms and must pay room usage fees. Due to the large enrollment in both programs, rooms are not available for rental to the general WVU student population or the Morgantown community at large.
V. Thefts and Vandalism
Thefts and vandalism of State or personal property should be reported immediately upon discovery to the University’s Department of Public Safety at 293-3136. The Operations Office should be contacted, and then the chair of the division.
VI. Miscelaneous
A. Alcoholic Beverages, Controlled Substances, and Firearms
The possession or use of alcoholic beverages, controlled substances, or firearms is forbidden on property, facilities, or the campus of West Virginia University.
B. Banners, Posters, or Signs
The College allows banners and posters by individuals or groups on non-departmental bulletin boards within the facility. There should be NO signs of any kind taped to the walls or doors of the building unless bearing the Operations Office’s official stamp of approval.
C. Lost and Found
The Lost and Found department for the College is located in Room 302A. Please take any items found in the building to this location.
D. Animals
WVU policies prohibit animals within all University buildings. Service animals are the exception to t his rule. The Creative Arts Center Operations Office will consider requests for the presence of animals that are an integral part of a production. The presence of said animals would only be permissible upon written authorization by the Operations Office.
